Chapter Rides is operated by Foxhall Group LLC ("we," "us," or "our"), a Nebraska limited liability company. If you have questions about this policy, contact us at [email protected].

2. What Data We Collect

When you or your chapter administrator creates an account or uses Chapter Rides, we collect:

• Full name and email address
• Phone number (if provided)
• Road name or nickname (if provided)
• Chapter and organization affiliation
• Ride logs including date, mileage, companion selections, route tags, and notes
• Login session data (session cookie, valid for the duration of your logged-in session only)

We do not collect payment information, social security numbers, government IDs, or any sensitive personal data.

3. How We Collect It

• Directly from you when you log rides, update your profile, or contact us
• From your chapter administrator when your account is created individually or via CSV roster import
• Automatically via session cookies when you log in

4. How We Use Your Data

We use your data solely to operate and improve Chapter Rides. Specifically:

• To display your ride history, mileage totals, and leaderboard position
• To send companion confirmation email notifications when you are tagged on a ride
• To generate chapter reports for your chapter administrator
• To send system notifications such as password resets and welcome emails
• To respond to support requests sent to [email protected]

We do not use your data for advertising. We do not sell your data. We do not share your data with third parties except as described in Section 5.

5. Third-Party Services

We use the following third-party service to operate Chapter Rides:

Brevo (formerly Sendinblue) — We use Brevo to send transactional emails including companion confirmation notifications, welcome emails, and password reset emails. Your name and email address are transmitted to Brevo for the sole purpose of delivering these emails. Brevo's privacy policy is available at brevo.com/legal/privacypolicy.

We do not use third-party analytics, advertising networks, or tracking services.

6. Cookies

Chapter Rides uses a single session cookie to keep you logged in during your visit. This cookie expires when you log out or close your browser. We do not use advertising cookies, tracking cookies, or third-party cookies of any kind.

The landing page at chapterrides.com does not use cookies.

7. Data Retention

We retain your account data for as long as your chapter maintains an active account with Chapter Rides. If a chapter account is closed or terminated, member data associated with that chapter will be deleted within 30 days upon written request to [email protected].

8. Your Rights

You have the right to:

• Request a copy of the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated data
• Contact your chapter administrator to update your profile information

To exercise any of these rights, contact us at [email protected]. We will respond within 30 days.

9. Data Security

We take reasonable technical measures to protect your data including HTTPS encryption on all pages and secure credential storage. No internet transmission is 100% secure. We encourage you to use a strong password and to notify us immediately at [email protected] if you suspect any unauthorized access to your account.

10. Children's Privacy

Chapter Rides is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has provided us with personal data, contact us at [email protected] and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users by email through our platform before any material changes take effect. Continued use of Chapter Rides after notification constitutes acceptance of the updated policy.
